The Action form is where all the details of works to be performed on an Asset are recorded.
The grayed-out section is automatically filled in.
This is the default tab that is displayed when an Action is created or opened.

Action Description |
A description of the work to be performed, created by: • Entered by the user • Transferred from the description of the Request, that the Action is created for, restricted by the limit set in “Tools>> Options>>Number of character of a Request used in Action Description” • From a Standard Action. Using Standard Actions, helps to describe Actions in a consistent manner. |
Asset ID |
The ID number of the Asset allocated to the Action. |
Asset |
This field displays the Asset that has been allocated to the Action. If the Action has been created from a Request, this field will be blank and can stay as such until the asset is known. The button is for opening the Asset Hierarchy to view, select or change the Asset for this Action. An Action without an allocated Asset cannot be completed. |
Asset Type |
If an Asset was allocated to the Action, this field will display the ID number and description of the Asset Type. If the Action was created from a Request and the Asset is not known, this field will be blank. The button is to select an Asset Type for this Action. If this is also unknown, it can be left blank. |
Standard Action |
Displays the description of the Standard Action used to create this Action. Is blank if a Standard Action was not applied to the Action. |
Reference ID |
The unique ID for this Action generated by Conquest. |
Master Action |
If this Action is a Sub-Action then its Master Action will be shown here. To relate an Action to a Master Action, choose the “Action>>Master Action>>Select Master Action” menu function, which will open a list of available Master Actions to select from. For more details on Master Action go to this section. |

This is for recording the location of the problem. This will default to the location as specified on either the Asset or the Request (if created from a Request). | |
Created By |
Defaults to the user creating the action. It can be amended. | |
Action Type |
This drop down list, lists the types of Actions that are available on this asset or as defined by the Standard Action. | |

Purchase |
Can be selected if the Action is created on a proposed Asset. Completing this Action will update the Asset’s status to Existing. The purchase cost as specified on the completion form, will become the starting value of the asset. This value will be displayed on the Asset in the original cost and accumulated capital works fields. This is a valuation Action and the completion process will create the appropriate valuation transaction on the allocated Asset. |

Unscheduled Scheduled |
Have little impact on the behavior of the Action, though it will help in the filtering of Actions. These are used to define the day to day actions created by breakdowns or other unforeseen events. Scheduled actions have purpose when used in conjunction with the RSM module. |

New Works |
Can be selected if the Action is created on an existing or proposed Asset. This is a valuation Action used to record capital improvement works on an Asset. Completing this Action will increase the value in the accumulated capital works field on the asset form, by the Action cost amount and the appropriate valuation transactions on the allocated Asset. If it was created on a proposed Asset, the completion process will update the allocated Asset’s status to Existing. |

Disposal |
Can only be selected if the Action is created on an existing Asset. This is a valuation Action that partially or completely removes an Asset from the register. Completing this Action will create a valuation transaction on the Asset and change the Asset’s status to Disposed. |
New Works check box |
This check box is ticked if the Work to be performed is going to result in a change to the valuation figures of this Asset i.e. a capital improvement. This would normally be checked for purchase, new works and disposal Actions. | |
Repeatable Action |
This check box will define the Action as an Action that will be repeated a number of times. The schedule for repeating is configured in the Action Dates tab that will be visible once the check box is ticked. More information on this function is found in the Repeatable Action page. | |
Urgency |
A pick list of the pre-defined urgencies. If generated from a Request it will default to the Request’s urgency. If the Action is based on a Standard Action it will default to the Standard Action’s urgency. The different Action Urgencies can be amended in the System List ‘Action Urgency’ in the Code Editor. | |
Planned Start |
This is the date of commencement of work on this Action. This will default to the current date unless the Action has been created from a Defect which has a response time set. | |
Action Status |
The option for this field is chosen from a drop down list that is user definable and is configured in the Code Editor. Typical entries show at what stage the Action is at (e.g. Waiting for approval, Ready for issue, etc). | |
Next Task Due |
The date entered here is normally used in relation to the Work Status entry and is used to determine the date when this should be achieved. | |
Estimated/Actual Quantities |
These two fields record the quantity of material and is used instead of using the more detailed tasks and associated estimates defined in the Costs tab. Use ‘ActionEstQuantity’ as the column heading when bringing this field’s data in via a bulk import or update. | |
Estimated Cost |
This is displaying the cost as configured on the Costs tab. | |
Actual Cost |
This is a copy of the action cost field shown on the Completion tab. | |
Assign To |
This shows the Organisation Unit to whom this Action has been assigned. If this Action is created from a Request, then this data is transferred from the Request form. | |
Location |
The button allows the selection of the location from the Location Hierarchy. | |
Action Category |
An Action Category is used to categorise Actions. Assigning an Action Category to and Action will open up the user fields defined for this category and determine the Contractors allowed to undertake the work. The button allows the selection of an Action Category. Can be defined by a Standard Action. Refer to the How To section for instruction on setting up Action Categories. | |
Contractor |
The list of appropriate Contractors will be available here once a relevant Action Category has been selected. | |
Sub-Contractor |
This list will be made up of the appropriate Sub Contractors of the Selected Contractor. See the Contractors section for more information. | |
Planned Finish |
This is the planned finish date of the work for this Action. | |
Appr. Requested |
The date the approval for this Action was requested. To request approval for an Action; select the Action>>Request Approval option from the menu. If the ‘Lock Actions at Issue’ option is enabled then changes to any details on this action will not be allowed once approval has been requested. | |
Issue Date |
This is the date the Action was issued. If the “Lock Actions at Issue” option is enabled then changes are disallowed to the action details once the Action has been issued. The 'Reverse Work Order Issue' business rule is available from Conquest II V2.58a1 • It is only available to Administrators: • It is only applicable to Actions where the Issue Date is set but the Action has not been completed • It clears the Issue Date for the Action and any of its Sub Actions (checking that the Sub Actions have not been completed, in which case the entire procedure fails) • It deletes any saved Snapshots or PDFs of the Work Order | |
Tax Asset |
This displays the Tax Asset to which this Action is associated. This will only apply if the add-on module Conquest Tax is in use. | |
Account |
A job number, cost centre or the like can be recorded here. Can be defined by a Standard Action. | |
Purchase Order |
This field is to record the number generated by a Finance system for a Purchase Order on this Action. | |
Contract number |
This field is to record the Contractor under which the Action was issued. |
