How To Use Actual Costs

When you need to record the Actual Resource costs of Tasks, open the Action, ‘Estimates and Costs’ Tab:

1.     Click the Edit button

2.     Click on the Task selector on the left of a Task, away from the “Arrowhead”, which displays the Resources for the Task and exposes all of the other ‘Costs’ Tasks. If you do click the “Arrowhead”, the Task will expand but it won’t be selected, so click again until the Task selector changes to a pale blue colour:

3.     Click the ‘Copy Rates to Actuals’ Task, if you know the quantities are a lot different to estimated, otherwise the ‘Copy Rates and Quantity t…’ Task, to prefill the Actuals section for the Resources:

4.     For each Resource, in the ‘Actual’ section on the right, enter or adjust the Quantity, Rate and ‘Cost Per Use’ values

5.     Save. The Actual Total for the Task is calculated and saved:

Things to be aware of:

Action Tasks provide a mechanism to add individual job steps to an Action in the cost estimating form.  Each Action Task can have any number of Resources (Plant, Labour, Materials or Contract Rates) added to it.

As Resources are entered, the Cost Estimate for the Action will increase, which is most useful for planning. 

Tasks and Resources can be pre-configured on Standard Actions, enabling standard, estimated costs to be provisioned to new Actions. Example:
